Job Summary:

As part of the Business Office management team, this position will provide day-to-day leadership and will work with staff to ensure a high-performance, customer service-oriented work environment that supports achieving the University's mission, objectives, and values. This position will analyze and prepare monthly consolidated financial statements for Hawaii Pacific University (HPU) and Hawaii Lifestyle Retail Properties (HLRP) as well as manage the general ledger (GL) and financial reporting processes with an eye toward eliminating inefficiencies and increasing automation. The Manager will assist the Controller with the fiscal year-end close and the annual audit. The Manager will be responsible for the management and reconciliation of HPU's bank accounts, investment brokerage accounts, endowment fund investment accounts, and general ledger accounts. The position will also provide oversight of HPU's restricted fund and fixed asset accounting. The Manager will perform complex accounting analyses and produce ad hoc reports to assist management in various decision-making processes. The Manager will lead and oversee the annual document retention/destruction process for the Business Office stockroom and off-site storage. The Manager will supervise, hire, train, mentor, and provide leadership to full-time staff.

Qualifications:
Minimum Qualifications:

  • Bachelor's Degree in Accounting, Finance, or other business-related fields.
  • Three (3) years of accounting experience.
  • Three (3) years of experience with computerized accounting programs.
  • Working knowledge of GAAP.
  • Ability to effectively prioritize and execute tasks in a fast past and rapidly changing environment.
  • Demonstrated ability to communicate effectively in written and oral forms with executive, senior management, faculty, staff, managers, and technical staff.
  • Proficiency with Microsoft Office Suite.

Desired Qualifications:

  • Master's Degree in Accounting, Finance, or other business-related fields.
  • Higher Education and/or non-profit organization experience.
  • Ellucian (Banner) Software experience.
  • Strong knowledge of GAAP.
  • Two (2) years of management/supervisory experience.
  • Two (2) years of experience working in a public accounting firm.
  • CPA license or CMA certification.

Other Qualifications:

  • Candidates must be legally authorized to work in the United States. Visa sponsorship and relocation allowance is not available for this position.
  • Report to work obligations to support the department and may require work during HPU's winter break, if necessary.
  • Must meet training and background check qualifications and comply with the Protection of Minors policy.
  • Able to work all shifts and extended hours.
  • Successful candidate will be able to work in a dynamic environment, utilizing excellent time and stress management skills.
  • Ideal candidate will be adept at identifying and communicating issues and areas of improvement within our accounting and business practices. The ideal candidate will also be comfortable with proposing, designing, and implementing changes to address the issues and areas of improvement.
  • The ideal candidate will be comfortable with and have a history of managing their work with a strong customer service approach.


Key Responsibilities/Essential Job Functions:

1. GL and Financial Reporting (60%)

  • Manages month-end closings and assists with fiscal year-end closing.
  • Reviews journal entries including monthly closing entries as well as non-recurring reclassification, accrual, and adjustment journal entries.
  • Prepares monthly, quarterly, and annual consolidated financial statements, including variance analysis and written explanation of variances.
  • Prioritizes and manages reconciliation of general ledger accounts. Ensures timely bank, investment, and endowment funds account reconciliations.
  • Work alongside the Controller to coordinate the internal and external audit of the University's accounting records and financial statements. Prepare and review audit schedules and respond to auditor requests in a timely fashion.
  • Coordinates and facilitates any research of discrepancies for transactions performed by AP, AR, Collections, and Payroll.
  • Oversees fixed asset accounting, including capitalization of assets, annual inventory, depreciation and amortization, and disposals of fixed assets.
  • Leads and oversees annual document retention/destruction process for Business Office stockroom and off-site storage.
  • Assist in the completion of strategic projects for the Business Office.
  • Prepares annual EADA reporting and works with Athletics/Payroll to meet the regulatory deadlines.
  • Prepares annual NCAA reporting and audit (every three years) and works with Athletics/Payroll to meet the regulatory deadlines.
  • Participate in Ellucian (Banner) Finance module software testing, evaluation, and process improvements.
  • Assist with accounting, financial reporting, and compliance-related ad hoc projects as needed.


2. Supervision and Administration Support (30%)

  • Train, mentor, and supervise accounting staff. Nurture and maintain a high-performance, customer service-oriented work environment that is aligned with the University's values and supports HPU's efforts in achieving its objectives and mission.
  • Assist with developing, implementing, and monitoring procedures, work processes, systems, and overall plans to achieve high-level work standards, key objectives, and annual goals.
  • Create and implement changes to work assignments among staff to meet operational needs, maximize efficiency and productivity, and manage customer service demands.
  • Review periodic reports submitted by subordinates to monitor activities, anticipate problems, and ensure accurate recording of transactions in HPU's accounting system.
  • Jointly work with Controller/Assistant Controller and staff to analyze and resolve complex or difficult problems surfaced by co-workers, students, or faculty members.
  • Assist and provide Ellucian (Banner) assistance as required.
  • Recommend changes to policies, procedures, and/or forms to Management when needed.


3. Budgeting (5%)

  • Assists in the review and preparation of budget estimates as required.
  • Provides financial information to other departments and assists in resolving questions and issues regarding actual revenue and/or expenditure data.


4. Performs other related duties as assigned (5%)

  • Actively participates as an effective member of team by completing assigned duties, and accepting additional assignments or reassignments.
